How are their details protected?
- Document number, date of birth, address: everything is stored locked with AES-256 encryption. No third party can read it.
- ID photos are kept in a private space, with no public link at all. No third party ever sees them.
- 7 days after checkout, the photos and all ID details are deleted automatically. Your bookings stay in your records as normal.
- On arrival, your guest registration form is ready and you can keep a PDF copy with one click. We never use the details anywhere and never send them to any authority.

Everything you want to know, before you start
Clear answers in plain English. Everything that really matters before you start, no fine print.
How much does it cost, and how does the trial work?
Professional is €300 per year (just €25 per month, billed yearly), for up to 25 rooms and always with 0% commission. Prices exclude VAT. It is an early price: the regular price is €45 per month, so if you start now you save €240 a year and keep your price. You start with 14 days free, no card needed. You add a card only if you decide to continue after the trial. For more than 25 rooms there is the Business plan, with a quote tailored to you.
What happens after the 14 days?
If you don't continue, you are charged nothing: you never gave a card. Everything you wrote stays in your account, nothing is deleted. If you decide to continue, you sign in, add a card and find everything just as you left it.
What is a digital guidebook?
A page for your property that opens when a guest scans a QR code in the room. It holds everything you would tell them in person: WiFi, check-in, directions, local tips and your services. You write it once, in English or Greek, and RoomLink translates it for your guests automatically.
Do I need technical skills to set it up?
No. If you can use WhatsApp, you can use RoomLink. You fill in your property's details in a few minutes, print the QR and put it in the room. No app, no installation, no technician. Everything happens from one simple screen, in English or Greek.
Can you help me set it up?
Yes. From your dashboard you invite a person from RoomLink to your team, just as you would invite a colleague. They give you advice or set up the guidebook and your services together with you. You choose whether they can only view or also edit, and you remove them whenever you like.
Do guests need an app?
No, none. Guests scan the QR with their phone camera and the guidebook opens like a simple web page. They download nothing, create no account, need no password. And if someone struggles with scanning, no problem: the guidebook is also a plain link. You send it by WhatsApp, text or email and it opens with one tap.
Does it work without internet?
The guidebook lives online, so your guest needs a connection. With their mobile data they open the guidebook, find your WiFi password and connect. From then on they have everything at hand.
Does it work with Airbnb and Booking.com?
Yes. You see Airbnb, Booking.com and direct bookings on one screen, without changing anything on Airbnb or Booking.com. Their calendars import into RoomLink automatically via iCal, every 15 minutes through the day. RoomLink does not change availability on Airbnb or Booking.com, but it alerts you if it finds a date conflict.
Which languages can guests read the guidebook in?
16 languages, translated automatically. Your guest reads the guidebook and talks to the assistant in their own language, with no extra work from you. You write once, in English or Greek, and RoomLink takes care of the rest.
How do guests pay for services?
In cash, directly to you. RoomLink does not process guest payments. A guest requests a service or an experience with one tap, you approve it, and payment is settled between the two of you. The only thing paid by card is your own subscription.
Where are guest details and ID documents stored?
In your own account, and they are yours. ID details are stored encrypted with AES-256 and ID photos in private storage, with no public link. No third party sees them: on arrival you have the file ready for your guest registration, and you keep a PDF copy if you want. 7 days after checkout, the photos and all ID details are deleted automatically, while your bookings stay in your records. We never use them anywhere and we never send them to any authority.
Really 0% commission on bookings and services?
Yes. We take no cut of your bookings, or of the services and experiences you offer. You pay only the flat yearly subscription. All the value you bring stays with you.
How many rooms or properties does it cover?
Professional covers up to 25 rooms in total, across as many properties as you like, each with its own QR and per-room details. Above 25 rooms, the Business plan is tailored to you, with a quote.
What is the luxury edition?

I already have a folder with instructions in the room. What changes?
Your folder already does half the job. But it says the same things to everyone, only in the language you wrote it in, and it needs reprinting every time the WiFi password or the breakfast time changes. The same guidebook reads in 16 languages, you update it yourself from your phone, nothing to print again, and through it your guest asks you for breakfast, a transfer or a day trip and pays you in cash. The folder answers · the guidebook answers and earns.
